Adding RoundsA round allows you to filter candidates in batches, allowing only the ones you have selected to go to the next round. Find out more about rounds here. Each round requires you to manually select and confirm the candidates going unto the next round. Each round has the following fields: Round name - a custom name for your rounds (e.g. Shortlist) Judging closes - this is the date by which you want judges to have finished scoring entries, this will be disabled until you have invited judges to this round.

Delete RoundWarning - Removing a round will remove all judges and scores for that round - this cannot be undone. This may also slow down loading submissions as the database will need to rebuild the next round. Do submissions open & close automatically?Yes, as soon as you have published your call, submissions will open and close automatically. This also means if your opportunity is set to be public, that it will start being shared in our bi-monthly recommendation emails and will be recommended across the site.

Editing RoundsYou can edit (make changes) to your rounds at any time before the round is confirmed. However you cannot delete a round that has already started (please note that a round starts when the previous round ends). e.g. If today's date was October 24th 2019, because judging for the Shortlist Round would have started on October 22nd, deleting the Shortlist Round will mean that you will lose all the scores that were allocated between October 22nd and 24th.

How do I extend my submissions deadline?Extending your deadline after submissions have closed? Please read this first. You can change your submissions deadline at any time, up to and beyond the submissions closing date. Remember - reminder emails for candidates to submit will go out 48 hours before your deadline. Should you wish these emails to go out, make sure you only extend your deadline the day before submissions close. Reminders will not go out again for candidates who already received them, but any new drafted entries will get a reminder 48 hours before your new deadline date.

How do I set up a public vote?Zealous allows you to open any opportunity to a public vote. The following needs to be considered when setting up for a public vote. At least one of your round results, or your submissions, need to be made public. This will allow external users to view the results so they can vote on them Public voting is not restricted to start and end dates - this is to allow them to run in parallel to other selection processes.

How to close your OpportunityAn opportunity is opened from the moment you publish the opportunity and ends when you have made your final selection. You cannot: delete an opportunity if it is opened. cancel your subscription if one of your opportunities is opened. If you wish to close an ongoing opportunity you will need to undertake the following steps: Update your rounds and schedule. Delete any rounds that haven't started yet, then make sure the dates for submissions and remaining rounds are all in the past.

Reopening submissionsIt's always better to extend your submissions deadline before they end. However you can extend submissions even once your submissions deadline has passed, but there are a few things you need to know before doing so. Zealous sends the following emails when your submissions close. Reopening your submissions after submissions close may lead to some confusing communication. Any judges invited to the round after submissions close will be informed judging has started as soon as your submissions close.

What are key dates?Zealous allows you to add any other key dates as part of your schedule. These are treated as additional information for candidates shown on your opportunity page. They can include: Exhibitions opening/closing Awards ceremony dates Face-to-face interviews Delivery by dates ... Please do not include the submission and round dates as key dates - these need to be included in the dedicated sections as these dates are used to automate your process (key dates are just additional) To add key dates:

What are rounds?Zealous allows you to split your selection process into rounds. This allows you to choose the best candidates in stages. Only candidates selected in a round will go onto the next round. This allows you to: filter 20 of the best candidates before putting them in front of higher-level judges. if you have 1,000's of submissions - split the workloads of shortlisting candidates by inviting your team to a shortlist round.

What does switching on public results do?Each round allows you to publish the results directly to your opportunity page. This is a wonderful way of celebrating those you have selected and generates exposure for your initiatives. Candidates will not be aware of any private rounds - they will be completely hidden throughout the process Note: If you wish to have a public vote you will need to make at least ONE of your rounds public - to allow voters to see the candidates they can score.
